Members lived in one SaaS tool, forms in another, courses in a third. Every renewal, receipt and course access meant manual work, the data sat on other people’s servers, and the association’s knowledge was scattered across documents nobody could search.
We consolidated everything into one portal on the association’s own infrastructure, migrated hundreds of members and almost a thousand form submissions without loss, and added a private AI that only speaks from cited sources.

The elements that make this system different
Private AI, cited and local
A members’ assistant that runs entirely on the association’s own server — local language model, vector search, temperature zero — and answers only with citations from the association’s documents. It passed its acceptance catalogue without a single error.
Three tools become one portal
Membership platform and form service replaced: 350+ members and nearly 1,000 submissions migrated, with a merge tool, consent management and a one-click personal data export.
A course academy of its own
Programs, modules and lessons with streamed video, resume position, comments and certificates — the association owns its content instead of renting a course platform.
Governance and finance built in
Organs, meetings, circular votes, audit and annual accounts in the portal; payments, donations, dunning and receipts flow automatically through 15 background workflows.
Privacy by architecture
Row-level security on every table, least-privilege access, k-anonymity for public research figures, nightly encrypted backups with tested restore.
